Hotel marketing: how to win direct bookings and guests who come back

A hotel sits on a gold mine it almost always wastes: its guest list. Every person who stayed left you their name, their email, their phone, the dates and even the room type they prefer. And most hotels use all of that only to print the confirmation email. The prize is elsewhere: turning the one-time guest — often brought in by an OTA with a commission — into a customer who comes back and books direct. The tool to achieve it is the guest cycle, automated.
The real cost: the OTA commission
Every booking that comes in through an online agency (Booking, Expedia and company) costs you a commission that usually runs from 15% to 25%. Moving even a portion of those bookings toward your direct channel improves your margin notably. And there’s a bonus: OTA bookings cancel considerably more than direct ones. Your own list, with permission, is the cheapest way to win direct and repeat bookings. Speaking to a past guest costs far less than paying to attract a stranger.
The guest cycle, automated
You don’t need a marketing team: you need the right messages, fired at the right moment. Start with the first three and grow from there.
- Confirmation (instant). Clean, mobile-first, with the booking details. No attachments — they hurt deliverability.
- Pre-arrival (5 to 7 days before). Useful information (how to get there, check-in, what to bring) and, along the way, the upsell: upgrading the room, booking dinner, an experience, early check-in. It’s extra revenue earned on its own, without reception having to sell anything.
- Post-stay (first 24 hours). A thank-you, the review requested while the experience is fresh (far more respond that way), and an incentive for next time to book direct with you. It’s the highest-performing automation: you keep the relationship in your channel before the OTA chases that guest again.
- Win-back / re-booking. Weeks or months later, an invitation to come back. The key isn’t the discount, it’s the timing: whoever came in a certain season is more likely to return around that same time. Send it when intent is high.
- Low season. A segmented campaign to past guests to fill the nights that would otherwise stay empty.
Add to this the touches that build loyalty: birthdays, the first-stay anniversary (“a year ago you discovered [the hotel]”), an invitation to the loyalty programme.
Reviews are part of the marketing
Most travellers decide by looking at reviews: your score on Google, TripAdvisor or Booking influences how many click on your hotel and how many end up booking. That’s why the post-stay email pays off twice: asking for the review while the visit is fresh raises both your review count and your rating. Respond to all — good and bad — and, if someone was upset, resolve it in private before they write it in public.
Which channel for what
- Email: the workhorse of the cycle — confirmation, pre-arrival, post-stay, seasonal campaigns. Cheap, controllable and yours.
- WhatsApp: in Panama and the region, the guest’s natural channel. Ideal for resolving questions before arrival, requests during the stay and everything that calls for conversation, with very high read rates. It requires opt-in.
- SMS: for the punctual on site (your room is ready, an activity today).

Getting your emails delivered (and who you speak to)
This whole cycle is useless if the emails land in spam. Confirmations and campaigns need a well-authenticated domain and a clean list — the detail is in our deliverability guide. For all of this you need the guest’s data and their permission per channel: you capture it at check-in or the wifi, with a clear opt-in that Law 81 requires — the how is in opt-in.
