Opticians: how to bring the patient back for the annual exam (and sell the glasses)

An optician’s most silent problem is the patient who thinks they see fine. They don’t think about their eye exam until their sight blurs or the prescription expires — and by then they may have bought contact lenses online with an old formula, and you lost the exam and the glasses sale. The cure is not to wait for them to remember: bring them back yourself. And since the exam is the door to almost everything you sell, that reminder is worth double.

The annual exam reminder is the engine
Most patients won’t book their exam on their own. That’s why the recall — giving notice before it’s due — is the most profitable thing an optician does:
- Start about 30 days before the year is up, with an easy link to book, and reinforce if they don’t reply. Several touches beat a single one, and a message to the phone the patient actually checks beats the postcard that ends up in the bin.
- Remember the exam-glasses connection: the patient who comes back to get examined is the same one who buys the lenses and the contacts. An optician with good recall is worth much more per patient than one that only serves whoever walks in. The sequence detail is in appointment reminders.
Prepare the appointment so it doesn’t get cancelled
A good part of last-minute cancellations are avoidable: the patient forgot that after a dilation they need someone to drive them, or arrived without their current glasses, without their contact lens box or without their prescription. A preparation message — what to bring, and if there’s dilation, come accompanied and with sunglasses — prevents that cancellation. And personalise the reason: “your annual exam” or “your child’s exam for back-to-school” weighs more than a cold “you have an appointment”.
The contact lens repurchase
Whoever wears contact lenses is a recurring, predictable source of revenue — if you don’t let it go. A reminder when their supply is running low does two things: that they don’t stretch the lenses beyond what’s safe, and that they repurchase with you and not on some random site. It’s care and business at once.
”Your glasses are ready” and the after-sales
- The “ready” notice brings the patient to the counter and saves you calls.
- The after-sales: a message at two weeks and another at one month catch any fitting discomfort in time — and resolve it before it becomes a complaint.
- Between exams: second-pair, sunglasses or lens-upgrade campaigns keep the relationship alive during the year, not just when the exam is due.
Which channel for what
- SMS: the punctual — the recall, the “they’re ready”, the appointment reminder. It reaches any phone and is read in minutes.
- Email: the between-visit campaigns — second pair, sunglasses, eye-care content.
- WhatsApp: the two-way conversation — booking, an opening-hours question, letting them know the order arrived — where the patient prefers it. In Panama, very close.
